Microsoft Workflow saves a Financial company valuable time

A city based financial company was wasting hours of admin time in managing and matching the significant amount of incoming invoices received for their investment funds, in addition to obtaining senior authorisation for processing and payment.
SY implemented Automated Document recognition and a workflow in Microsoft 365 to manage the flow from start to finish.
Overview of the workflow Process:
- The system monitors designated mailboxes
- Microsoft Azure Machine Learning tools scans all emails for attached incoming invoices
How the workflow performs:
- Takes a copy of the attached invoice and files it in the required SharePoint location
- Extracts key information from the invoice and creates a summary
- Generates an email to ‘authorised approvers’ with summary details and a link to the original invoice. The email has an approval ‘Yes/No’ button

The system creates a summary list of:
- Invoices waiting approval
- Invoices approved
- System will trigger an alert, to the user managing the process, once the invoices have been authorised (can be configured for MS Teams)
- System will retain a detailed audit of the process with name, date and time of authorisation
